Your guest list is the hidden lever behind your entire wedding budget. Every plate, every seat and much of your décor scales with headcount — so the single most useful number in planning is your cost per guest.
This free Cost Per Guest Calculator divides your total budget by your guest count to show exactly what each guest costs, and how that number moves as your list grows or shrinks. It runs instantly in your browser — no signup, nothing stored.
The Cost Per Guest Calculator shows how much of your wedding budget each attending guest represents. You enter your total budget and the number of guests, and it returns the cost per head. Optionally add your food or catering budget to see the food cost per guest separately.
Because so much of a wedding scales with headcount, this single figure is one of the fastest ways to sanity-check your budget and compare venues, caterers and plans on equal terms.
Couples routinely underestimate how much each guest adds. This tool helps you:
The calculator divides your total budget by your guest count to give the overall cost per guest. If you also enter a food or catering budget, it divides that by the same guest count for a food-only figure.
To show sensitivity, it recalculates the cost per guest for a smaller and a larger list, so you can see at a glance how much each block of guests moves the number. Change any input and everything updates instantly.
The calculation is simple:
Example: a ₹15,00,000 budget for 300 guests is ₹5,000 per guest. Cut the list to 250 and the same budget becomes ₹6,000 per guest — or, at ₹5,000 per guest, you save ₹2,50,000.
Example 1 — ₹10,00,000 for 200 guests is ₹5,000 per guest.
Example 2 — ₹25,00,000 for 500 guests is ₹5,000 per guest; trim to 400 and it rises to ₹6,250, showing how a fixed budget stretches thinner or richer with headcount.
Example 3 — food focus: a ₹6,00,000 catering budget for 400 guests is ₹1,500 food cost per guest, the figure caterers quote against.
